Privacy notice
What Frank collects when you ask a workshop for a quote, why, who sees it, and how long it is kept. Written to be read, not skimmed.
Who we are
Frank is the quote request service used by workshops. This notice is from Frank Quotes, which runs Frank, and it applies together with the workshop you sent your request to. It explains what happens to your details when you use Frank.
Questions or requests: privacy@frankquotes.com.
What we collect
Your name, phone number, email address and how you would like to be contacted.
Your vehicle's registration and state, make and model, colour, year and odometer.
What you tell us about the problem, and any photos or video you attach.
If you sign in to see your quotes, your email address and a one-time code.
The time of your request, the town or region it was sent from (worked out from your connection, never your exact location), and which pages are used, so we can keep Frank working and stop abuse.
We do not collect payment details.
Why
So the workshop can look at your request, work out what is likely wrong and send you a quote.
So you can see, accept or ask about your quotes.
So we can keep Frank secure, reliable and improving (see "Improving Frank").
Who sees it
The workshop you chose, including its staff. No other workshop can see your request.
Frank's own team, only to run and support the service.
Frank keeps one record of you across every workshop that uses it, so you can see all your quotes in one place at my.frankquotes.com.
If you work at a workshop that uses Frank: the customers whose quotes you prepare see your first name, last initial and, if you add one, your profile photo. You can hide the photo from customers or delete it at any time on your Profile page.
Services we use, and where your details go
Your details are stored in Australia.
Vehicle details are looked up from your registration and state through an Australian provider. Only the registration and state are sent.
To help the mechanic prepare, Frank's AI tools read your description of the problem, your vehicle details, your photos and the first few minutes of your video, and write a draft for the workshop. Those AI services are run by Anthropic and Google through Vercel, in the United States. Your name and contact details are never sent to them, and they are not allowed to keep what they are sent.
Emails from Frank are sent through a provider in the United States.
Sign-in codes and invite links for workshop staff are texted through Twilio in the United States, which receives their mobile number and the text.
If the workshop connects Frank to its own job management system, your quote, your contact details and your photos can be copied into that system when you accept a quote. That system is run by the workshop under its own privacy policy.
These providers only use your information to provide their service to Frank.
When you sign in, a security check from Cloudflare, which operates worldwide, sees your IP address and browser details, and Cloudflare uses them to block bots and, under its own privacy policy, to improve its bot detection.
Improving Frank
We use what people write about their vehicle problems and what workshops answer, with names and contact details removed, to make Frank better at helping workshops quote. Photos and video are never used for this.
How long we keep it
The vehicle and job details (the vehicle, the problem, the work and the price) stay with the workshop as its service history for as long as the law allows.
Your personal details (name, phone, email, where the request was sent from, and the link to your Frank account) stay on the job for up to 7 years after your last quote with that workshop. After that we remove them from the job record, and the job can no longer be traced to you.
Photos and video stay with the job.
You can ask us to remove your personal details sooner (see "Your choices"), unless the workshop needs them for a legal reason.
Marketing
We only send offers or reminders if you tick the separate box asking for them. That box names who will send them: the workshop, and Frank. Every message has an unsubscribe link, and you can stop at any time.
Your choices
You can see your quotes at my.frankquotes.com by signing in with the email on a quote.
To get a copy of your information, fix a mistake, or ask us to remove your personal details, email privacy@frankquotes.com or contact the workshop. We answer within 30 days.
If you are not happy with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
